We're AgentumGroup, based in Alberta, Canada. We build and operate AI receptionists for small service businesses across North America. Our AI answers our clients' phone lines, takes down caller details, sends lead notifications, and books appointments.
This policy explains, in plain English, what personal information we collect, why, who we share it with, and what your rights are. We follow Canada's federal privacy law (PIPEDA) and the provincial Personal Information Protection Acts of British Columbia and Alberta.
1. Who this policy covers
- Callers — people who phone a business whose line is answered by our AI.
- Website visitors — people browsing agentumgroup.com.
- Clients and prospects — businesses we work with or talk to.
A note for callers: when you phone one of our clients, that business is the primary custodian of your information. We process it on their behalf to run their phone line. This policy describes our part of that.
2. What we collect
From calls handled by our AI:
- Audio recordings of the call
- Written transcripts of the call
- Your name and phone number
- Details you share about the job you're calling about (address, type of work, timing, budget range, and anything else you tell the agent)
- Call metadata (time, duration, the number you called from)
From our website:
- Basic analytics (pages visited, approximate location, device/browser type)
- Anything you submit through a contact form (name, email, message)
From clients:
- Business contact details, billing information, and the business information needed to configure their AI agent.
We don't collect more than we need, and we don't buy or sell personal information. Ever.
3. Calls are answered by AI — and recorded
When you call a line we operate, you're speaking with an artificial intelligence voice agent, not a human. Calls are recorded and transcribed so that:
- The business gets an accurate record of what you need
- We can verify the AI handled your call correctly
- We can fix things when the AI gets something wrong
Canada permits recording a call with the consent of one party to it. However, under PIPEDA we believe callers should always know they're being recorded, so we configure our agents to disclose at the start of the call that the call is with an AI assistant and is being recorded. If you don't want to be recorded, you can hang up and contact the business another way (most of our clients also take email or text).
4. Why we collect it (purposes)
We collect and use personal information to:
- Answer calls and have a useful conversation with the caller
- Capture lead details and pass them to the business you called
- Book, change, or cancel appointments
- Generate preliminary, non-binding job estimates when a client offers that feature
- Send lead notification emails to our clients
- Monitor and improve the quality and accuracy of our AI agents
- Run, secure, and bill for our services
- Meet legal obligations
We don't use call recordings or transcripts to train our own AI models, and our AI providers are contracted not to train their models on our data (see section 5).
5. Who we share it with (subprocessors)
We use a small set of service providers to deliver our services. They process data only on our instructions:

We may also disclose information if the law requires it (for example, a valid court order), or to the business whose line you called — that's the whole point of the service.
We do not sell, rent, or trade personal information.
6. Your information may leave Canada
Several of our providers (Retell, Twilio, Anthropic, Cloudflare, Google) store or process data in the United States or on global infrastructure. While your information is outside Canada, it's subject to the laws of those jurisdictions, and foreign courts, law enforcement, and national security authorities may be able to access it under those laws. We use contractual and technical safeguards with every provider, but we can't override foreign law. Questions about our cross-border practices can go to manager@agentumgroup.com.
7. How long we keep it
- Call recordings and transcripts: kept long enough to deliver the lead, verify quality, and resolve disputes — then deleted. Our default retention is 12 months unless a client's arrangement or a legal requirement says otherwise.
- Lead details delivered to a client: the client keeps these under their own retention practices; ask them directly.
- Website analytics: aggregate data only, kept up to 24 months.
- Client account and billing records: kept for the duration of the relationship plus the period required by tax and business-records law (generally 7 years).
When we no longer need information, we delete it or anonymize it.
8. How we protect it
We use encryption in transit, access controls, and reputable infrastructure providers, and we limit access to people who need it to do their jobs. No system is perfectly secure, but if a breach creates a real risk of significant harm to you, we'll notify you and the appropriate privacy commissioner as the law requires.
9. Your rights
Under PIPEDA, BC PIPA, and Alberta PIPA you can:
- Ask what we have — request access to the personal information we hold about you
- Correct it — ask us to fix inaccurate information
- Delete it — ask us to delete your recordings, transcripts, or contact details (we'll comply unless we're legally required to keep something)
- Withdraw consent — subject to legal and contractual limits
- Complain — first to us, and if you're not satisfied, to the Office of the Privacy Commissioner of Canada, the Office of the Information and Privacy Commissioner for BC, or the Office of the Information and Privacy Commissioner of Alberta
To exercise any of these, email manager@agentumgroup.com. We'll respond within 30 days, and we may need to verify your identity first. There's no charge for reasonable requests.
If your request relates to a call you made to one of our clients, we may direct your request to that business or work with them to fulfill it, since they're the primary custodian of that information.
10. Children
Our services are built for businesses and aren't directed at children. We don't knowingly collect personal information from anyone under 16. If a minor's information ends up in a call recording, a parent or guardian can email us and we'll delete it.
11. Changes to this policy
If we change this policy, we'll post the new version here with a new "last updated" date. Material changes affecting how we handle caller data will be communicated to our clients so they can inform their callers.
12. Governing law
This policy is governed by the laws of Alberta and the federal laws of Canada applicable in it.
